Pros & Cons
Online booking offers several advantages for your private practice. Firstly, clients can book appointments at any time that is convenient for them. This flexibility allows individuals to schedule sessions outside of regular office hours, making therapy more accessible to those with busy schedules or time constraints. Additionally, online booking eliminates the need for back-and-forth communication between clients and therapists to find suitable appointment times. This streamlines the booking process, saving both parties time and effort.
Another benefit of online booking is that it simplifies the payment process. All good online booking systems have payment platforms already integrated, allowing clients to make payments at the time of booking or after the session. This reduces the administrative burden on you, since you no longer need to manually handle cash or process cheques. Plus ~ let’s be honest ~ what therapist wouldn’t love to wrap up each session without having to talk about money?!
Integrating the booking system with your own calendar enables you to easily manage your schedule and avoid double bookings or conflicts. The system can automatically update your Google calendar or iCal and send reminders to both you and your client, improving organization and reducing the likelihood of missed appointments.
However, there are some drawbacks to online booking. One challenge specific to therapists is difficulty with screening new clients. When appointments are booked online, you’ll have limited opportunities to assess potential clients before their first session. This lack of initial interaction makes it harder to determine if the client is a good fit for your practice or if there are any conflicts of interest or scope issues that require attention. You may need to rely on alternative methods, such as thorough intake forms or introductory calls, to gather necessary information before accepting new clients.
Another possible drawback is the reliance on technology. Online booking systems require stable internet connections and functioning software to operate smoothly. Technical issues, such as website downtime, software glitches, or connectivity problems, can disrupt the booking process and cause frustration for both you and your clients. Furthermore, it can be challenging to adapt to new technologies and it can take a while to get comfortable with using your online booking system. This can be a barrier for therapists who are less technologically inclined or who have limited access to reliable internet.
Privacy Compliance
An especially important consideration for counselors and therapists is the security of the online scheduling system you choose. To ensure compliance with the various data protection regulations such as HIPAA (Health Insurance Portability and Accountability Act), PIPEDA (Personal Information Protection and Electronic Documents Act), PHIPA (Personal Health Information Protection Act), and GDPR (General Data Protection Regulation), an online booking platform should incorporate the following features:
Secure Data Transmission: The platform should use secure protocols such as HTTPS to encrypt data during transmission, preventing unauthorized access or interception of sensitive information.
User Authentication and Access Controls: User authentication mechanisms will help to verify the identity of users accessing the platform. This might involve multi-factor authentication (MFA) or other secure methods.
Data Minimization and Purpose Limitation: Online booking systems should collect and store only the necessary data required for booking purposes. They ought to minimize the collection of personally identifiable information and limit the processing of data to the intended purpose of the booking service.
Consent Management: As with other areas of the counseling relationship, obtain explicit and informed consent from clients before collecting, storing, or processing their personal information. Clients should have the ability to withdraw consent and have their data deleted if required.
Data Encryption and Security Measures: Your online booking system should use strong encryption algorithms to protect sensitive data. It should have appropriate security measures to prevent unauthorized access, such as firewalls, intrusion detection systems (IDS), and vulnerability scanning.
Data Storage and Retention: It is important that your online scheduler has secure data storage practices, such as storing data in encrypted databases or using tokenization methods.
Data Breach Response and Notification: Online booking systems should have procedures to promptly detect and respond to data breaches.
Privacy Policies and Terms of Service: Clearly communicate your privacy policy to your clients. Ensure that it is easily accessible, transparent, and provides sufficient information about how personal data is processed and protected. To get my help with your website privacy policy, click here.
Client Experience
The experience your future clients have in booking a session with you via your website can be optimized with a few important considerations. Here are some things that contribute to a smooth and user-friendly process:
Ease of Use: A user-friendly booking platform ensures that clients can easily navigate through the scheduling process. Intuitive design, clear instructions, and a streamlined interface make it simple for clients to find available appointments and book their sessions without confusion or frustration.
Appealing Interface: A visually pleasing interface can create a positive impression on clients. A well-designed platform with a clean and professional appearance helps to establish trust and credibility, making clients feel more comfortable and confident in their decision to book with the counselor.
Seamless Transition from Website to Booking: Integration between your website and the booking platform is crucial for a seamless user experience. Clients should be able to access the booking system directly from your website; and the brand colors, fonts, and ‘voice’ should be consistent. A seamless transition and cohesive experience helps to build trust and supports feelings of safety as your client takes that leap and books a therapy appointment.
Confirmation and Reminder Emails: Prompt confirmation and reminder emails are essential to keep clients informed about their upcoming appointments. These emails should provide all necessary details, including the date, time, location (if applicable), and any specific instructions or requirements for the session. Clear communication through email helps clients stay organized and prepared, reducing the likelihood of missed or forgotten appointments.
Option to Reschedule: A booking platform should offer clients the option to easily reschedule their appointments in case of unexpected conflicts or changes in their availability. Providing a user-friendly rescheduling process helps clients feel empowered and accommodated, leading to better client satisfaction and retention.
Important Features
When choosing an online booking platform for your private practice, several important considerations should be taken into account to ensure a smooth and efficient client experience.
First and foremost, the platform should offer the necessary features to accommodate the services you provide. Whether it’s individual counseling sessions, couples therapy, or group sessions, ensure that the platform supports the specific services you offer.
Booking settings are another crucial factor to consider. Look for a platform that allows you to customize your availability, set appointment durations, and define buffer times between sessions. The flexibility to set your own schedule and manage bookings according to your preferences is vital for maintaining a well-organized practice.
Having the ability to send custom emails to clients is beneficial for personalized communication. Look for a platform that allows you to customize appointment confirmation emails, reminders, and follow-up messages.
Additionally, if you use video conferencing tools like Zoom for online counseling sessions, ensure that the platform you choose seamlessly integrates with those tools and automatically generates the necessary meeting links for each appointment.
If you offer packages or discounts to your clients, it’s important to choose a platform that supports such features. This allows you to create bundled service packages or apply discounts for specific clients or situations, providing flexibility in pricing and offering incentives to your clients.
For counselors who offer classes or workshops in addition to individual sessions, it’s crucial to find a platform that supports group bookings and provides the necessary tools to manage and schedule these group events efficiently.
Consider whether you prefer an app-based or desktop-based platform. Both options have their advantages and drawbacks. An app-based platform provides the convenience of accessing your booking system on the go, while a desktop platform may offer more robust features and easier navigation. Many platforms will do both.
Lastly, ensure that the platform provides notification settings that suit your preferences. It should allow you to receive notifications for new bookings, cancellations, or changes to appointments in a way that works best for you, whether it’s through email, SMS, or push notifications on your mobile device.
By carefully considering the features you need, you can select an online booking platform that aligns with your practice’s needs, enhances the client experience, and makes appointment management easy and efficient.
Lastly, let’s take a look at some of my preferred platforms based on my work with numerous counselors and therapists…

Some Options to Consider
Acuity is a popular online booking platform that offers various features, including customizable scheduling, calendar syncing, and payment integration. It integrates well with Squarespace, a website building platform, allowing seamless integration of scheduling functionality into your website. Calendly is another widely used platform known for its simplicity and ease of use. It offers features such as appointment scheduling, availability management, and automated reminders. Both Acuity and Calendly may be suitable for individual practitioners and small practices looking for user-friendly booking solutions. Double-check privacy requirements for your governing body to ensure these comply.
My new favorite in the ‘cheap and easy’ category is TidyCal. It does all that Acuity and Calendly do, but for a very reasonable one-time payment (rather than a subscription).
Practice Better is a comprehensive platform specifically designed for health and wellness practitioners. It offers features beyond booking, such as client management, invoicing, online group programs, and telehealth integration. It provides extensive customization options and supports various healthcare disciplines, making it suitable for practitioners who require a holistic practice management solution.
Jane is a full-featured practice management platform that includes online booking, charting, billing, and telehealth capabilities. It offers a user-friendly interface and integrates well with third-party applications. Jane is often favored by multidisciplinary clinics and larger practices due to its comprehensive feature set.
Owl Practice is a Canadian practice management software designed for mental health professionals. It includes features like appointment scheduling, client notes, billing, and invoicing. It also supports secure client messaging and integrates with popular video conferencing platforms. Noterro is a practice management platform tailored for massage therapists and other healthcare practitioners. It offers features such as online booking, SOAP notes, invoicing, and appointment reminders. Noterro focuses on simplifying the administrative tasks involved in running a massage therapy practice.
Each platform has its own strengths and focuses on different aspects of practice management. The choice ultimately depends on the specific needs of the practitioner or practice, such as the size of the practice, the type of services offered, integration requirements, and budget constraints. It’s important to thoroughly evaluate each platform’s features, user reviews, and pricing options to determine the best fit for your practice.
