As with most things there are some important considerations when choosing an online scheduling system, including privacy compliance, the client experience, and some of the essential features to look for.

Additionally, online booking eliminates the need for back-and-forth communication between clients and therapists to find suitable appointment times. This streamlines the booking process, saving both parties time and effort.

Another benefit of online booking is that it simplifies the payment process. All good online booking systems have payment platforms already integrated, allowing clients to make payments at the time of booking or after the session. This reduces the administrative burden on you, since you no longer need to manually handle cash or process cheques. Plus ~ let’s be honest ~ what therapist wouldn’t love to wrap up each session without having to talk about money?!

Integrating the booking system with your own calendar enables you to easily manage your schedule and avoid double bookings or conflicts. The system can automatically update your Google calendar or iCal and send reminders to both you and your client, improving organization and reducing the likelihood of missed appointments.

However, there are some drawbacks to online booking. One challenge specific to therapists is difficulty with screening new clients. When appointments are booked online, you’ll have limited opportunities to assess potential clients before their first session. This lack of initial interaction makes it harder to determine if the client is a good fit for your practice or if there are any conflicts of interest or scope issues that require attention. You may need to rely on alternative methods, such as thorough intake forms or introductory calls, to gather necessary information before accepting new clients.

Another possible drawback is the reliance on technology. Online booking systems require stable internet connections and functioning software to operate smoothly. Technical issues, such as website downtime, software glitches, or connectivity problems, can disrupt the booking process and cause frustration for both you and your clients. Furthermore, it can be challenging to adapt to new technologies and it can take a while to get comfortable with using your online booking system. This can be a barrier for therapists who are less technologically inclined or who have limited access to reliable internet.

Data Encryption and Security Measures: Your online booking system should use strong encryption algorithms to protect sensitive data. It should have appropriate security measures to prevent unauthorized access, such as firewalls, intrusion detection systems (IDS), and vulnerability scanning.

Data Storage and Retention: It is important that your online scheduler has secure data storage practices, such as storing data in encrypted databases or using tokenization methods.

Data Breach Response and Notification: Online booking systems should have procedures to promptly detect and respond to data breaches.

If you offer packages or discounts to your clients, it’s important to choose a platform that supports such features. This allows you to create bundled service packages or apply discounts for specific clients or situations, providing flexibility in pricing and offering incentives to your clients.

For counselors who offer classes or workshops in addition to individual sessions, it’s crucial to find a platform that supports group bookings and provides the necessary tools to manage and schedule these group events efficiently.

Consider whether you prefer an app-based or desktop-based platform. Both options have their advantages and drawbacks. An app-based platform provides the convenience of accessing your booking system on the go, while a desktop platform may offer more robust features and easier navigation. Many platforms will do both.

Lastly, ensure that the platform provides notification settings that suit your preferences. It should allow you to receive notifications for new bookings, cancellations, or changes to appointments in a way that works best for you, whether it’s through email, SMS, or push notifications on your mobile device.

Acuity is a popular online booking platform that offers various features, including customizable scheduling, calendar syncing, and payment integration. It integrates well with Squarespace, a website building platform, allowing seamless integration of scheduling functionality into your website. Calendly is another widely used platform known for its simplicity and ease of use. It offers features such as appointment scheduling, availability management, and automated reminders. Both Acuity and Calendly may be suitable for individual practitioners and small practices looking for user-friendly booking solutions. Double-check privacy requirements for your governing body to ensure these comply.

My new favorite in the ‘cheap and easy’ category is TidyCal. It does all that Acuity and Calendly do, but for a very reasonable one-time payment (rather than a subscription). 

Practice Better is a comprehensive platform specifically designed for health and wellness practitioners. It offers features beyond booking, such as client management, invoicing, online group programs, and telehealth integration. It provides extensive customization options and supports various healthcare disciplines, making it suitable for practitioners who require a holistic practice management solution.

Jane is a full-featured practice management platform that includes online booking, charting, billing, and telehealth capabilities. It offers a user-friendly interface and integrates well with third-party applications. Jane is often favored by multidisciplinary clinics and larger practices due to its comprehensive feature set.

Owl Practice is a Canadian practice management software designed for mental health professionals. It includes features like appointment scheduling, client notes, billing, and invoicing. It also supports secure client messaging and integrates with popular video conferencing platforms.
